READY-MADE TEMPLATES

Start from a proven checklist or make your own custom list

Recurbit's Community Library includes ready-made templates you can add in one click โ€” then make them your own. Add steps, drop the ones you don't need, and reword anything before you save; nothing touches your account until you confirm. They span HR, finance, operations, and governance โ€” and several governance templates are written to specific statutes, with the citations built in.

HR

Employee Onboarding

Accounts, equipment, paperwork, and first-week check-ins โ€” every step dated from the new hire's start date.

Governance

School Board Meeting Prep

Agenda, postings, packet, and follow-ups โ€” every step dated back from the meeting date.

Finance

Month-End Close

Reconciliations, approvals, and reporting for the monthly close โ€” scheduled in business days.

Operations

Event Planning

Venue, invitations, logistics, and day-of tasks, each dated relative to the event.

REPEATABLE · SAME CHECKLIST · ANY DATE

Change the date. Every step reschedules itself.

Here's one School Board Meeting template used for two different meeting dates. Move the meeting and every posting, packet, and prep deadline recalculates automatically โ€” no date math, nothing to rebuild.

Meeting on Aug 24
School Board Meeting
School Board Meeting checklist in Recurbit dated to August 24, with every subtask automatically scheduled relative to that meeting date

First prep steps land Aug 10; public notice posts Aug 19.

Meeting on Aug 13
School Board Meeting
The same School Board Meeting template dated to August 13, with all subtask dates shifted earlier to match the new meeting date

Same steps, shifted back: prep lands Jul 30; notice posts Aug 8.

Two meetings, one template โ€” the only thing that changed was the date at the top.

New-hire onboarding

Not just board meetings.

The same self-dating works for onboarding, month-end close, and compliance filings โ€” anything with a deadline and a set of steps leading up to it. Set the start date and Recurbit lays out the whole runway, including the follow-ups after.

Here a new hire starts Aug 24: paperwork's already filed, IT is queued for Aug 19, and the 30- and 60-day check-ins are on the calendar before day one.

✏️
Nothing's set in stone.

Every template is a starting point, not a straitjacket. Add your own steps, remove the ones you don't need, rename anything, and adjust the timing โ€” all before you save. Make it match how your team actually works.

🔗 Subscribe to Recurbit Calendar

Your personal calendar URL contains all your tasks and subtask due dates. Add it to any calendar app to see them alongside your other events.

How to add to Google Calendar:
  1. Copy the URL above
  2. Open Google Calendar on desktop
  3. Click + next to "Other calendars"
  4. Select "From URL"
  5. Paste the URL and click Add calendar
⚠️ Updates about once a day, not instantly. Google, Apple, and Outlook only refresh subscribed calendars roughly every 24 hours โ€” that timing is set by them, not by Recurbit, so we can't make it faster. A change you make here may take up to a day to appear in your calendar app. For an up-to-the-minute view, use the Recurbit calendar itself.

? Help & Reference

How do I create a task?
Click + New task (second row, left side). Choose to build from scratch or pick a Recurring Task Template. Set a name, due date, priority, and board column. Checklist items can have dates calculated automatically based on the task due date.
What are the favorite template buttons?
Star up to 5 templates on the Recurring Task Templates page and they appear as quick-access buttons next to + New task. Click one to open New Task with that template already selected.
How do checklist item dates work?
Each item can be set "X days before" the task's due date, or given a fixed date. Toggle Use Custom Days/Holidays Settings to skip weekends and/or holidays (configured in Settings). Dates recalculate automatically when you switch the toggle or change the due date.
How do I search and sort tasks?
Use the search bar at the top to filter tasks by name, template, or checklist item text. Use the sort dropdown to order by due date, name, priority, or creation date. Both are in the top toolbar row.
What do Compact and Expand do?
Compact is a denser view with smaller fonts and tighter spacing so you can see more tasks at once. It's on by default โ€” you can turn it off in Settings → Display. Expand/Collapse toggles all task checklists open or closed at once.
How do I reorder tasks?
Grab the โ‰ก handle on the left of any task card and drag it up or down. On the board, drag cards between positions or columns.
How do I move a task to a board column?
In list view, use the small column dropdown in the task's action buttons. In board view, drag the card to the target column.
How do assignments work?
Enter an email in the "Assign to email" field on a checklist item. The person gets an email and can accept or decline from their Inbox (bell icon). If they accept, the item appears as a task in their account. When they check it off, it's automatically marked done in your task too.
What are Follow-ups?
A secondary checklist for post-completion actions โ€” like sending a recap or archiving files. They appear below the main checklist in a purple section.
